Service Parts Administrator

Your new role

To provide accurate and efficient administrative support for the service parts operation, ensuring all parts movements are processed, tracked, and communicated in line with company policies. The role focuses on maintaining up-to-date records, reconciling orders, and supporting the Customer Teams and Warehouse Operatives to guarantee the speedy, safe, and accurate dispatch of parts to customers and Customer Distribution Centres (CDCs).

What you'll be doing

  • Accurately input and update order details into warehouse management systems and digital manifests.
  • Reconcile parts received against supplier documentation and manifests, flagging discrepancies for resolution.
  • Track orders and proactively chase updates on delayed or missing parts with suppliers and manufacturing partners.
  • Support Customer Teams by providing clear, timely updates on order progress, delays, or issues.
  • Maintain accurate stock and order records to support visibility across the operation.
  • Liaise with Warehouse Operatives to ensure parts are prepared and dispatched in line with SLAs.
  • Generate reports and provide administrative support to the Team Leader and management.
  • Assist with investigating and resolving issues such as lost, incorrect, or damaged parts.
  • Ensure all administrative processes comply with company policies, GDPR, and Health & Safety standards.

We’re looking for experience in:

Attention to Detail: High accuracy in data entry, record keeping, and reconciliation of parts orders.

Organisation: Able to manage multiple tasks, prioritise workloads, and meet deadlines.

Communication: Clear and professional communication with suppliers, internal teams, and customers.

Systems Confidence: Competent in using order management systems, spreadsheets, and tracking tools.

Problem-Solving: Able to identify issues quickly, escalate appropriately, and support timely resolutions.

Customer Focus: Dedicated to delivering accurate and timely updates that enhance customer satisfaction.

Collaboration: Works effectively with Warehouse Operatives, Team Leaders, and Customer Teams.

Warehouse Awareness: Understanding of stock handling processes to support accurate administration.

Previous experience in an administrative role, ideally within warehousing, logistics, or parts distribution.

Confident user of Microsoft Office (Excel, Outlook, Word) and order/warehouse management systems.Experience in maintaining accurate records and handling sensitive data.

Strong communication skills, both written and verbal.

Desirable: NVQ / Diploma in Business Administration, Warehousing & Storage, or equivalent.
